Overview

Rally's Zapier integration lets you automate workflows between Rally and your favorite tools. Create Zaps that trigger actions in Rally based on events in other apps, or use Rally data to power your entire GTM stack.

Getting started

What you need

  • An active Rally account

  • A Zapier account (free or paid)

Authentication

Rally uses secure OAuth2 authentication:

  1. When creating your first Zap, click "Sign in to Rally"

  2. You'll be redirected to Rally's login page

  3. Authorize Zapier to access your Rally organization

  4. You'll be redirected back to Zapier to complete setup

Once authenticated, all subsequent Zaps use the same connection automatically.


Available actions

Triggers

Pull data from Rally to start your automated workflows. Triggers check for new data every 5-15 minutes.

Get users

Retrieves users in your Rally organization.

Use cases:

  • Assign people to customer accounts

  • Notify relevant people in Slack or Teams

Get spaces

Retrieves spaces (deal rooms) in your organization.

Use cases:

  • Sync active deal rooms to your CRM pipeline stages

  • Trigger welcome sequences when new deal rooms are created

  • Track buyer engagement

Get space participants

Retrieves participants for a specific space.

Use cases:

  • Sync deal team assignments to your CRM for accurate pipeline ownership

  • Notify sales engineers when they're added to technical evaluation spaces

Get stories

Retrieves stories (content blocks) accessible to the authenticated user.

Use cases:

  • Archive high-performing demos to your sales enablement library

  • Track which content types drive the most engagement

  • Automatically tag and organize content in your knowledge base


Searches

Find specific Rally data to use in your workflows.

Universal search

Search across Rally content with optional filtering.

Search across:

  • Spaces (deal rooms)

  • Stories (videos, demos)

  • Customer Accounts

Note: Media has its own dedicated search action (see "Find media" below).

  • Locate deal rooms based on industry or use case

  • Search for specific accounts to enrich with CRM data

Find account

Find a specific customer account in Rally by name.

Use cases:

  • Verify account exists before auto-creating personalized spaces

  • Look up account details when processing webhook from other systems

  • Find account ID to use in subsequent "Update account context" actions

Find space

Find a specific space (deal room) in Rally.

Use cases:

  • Look up deal room engagement before sales calls to understand buyer interest

  • Find the correct deal room before adding new personalized content

  • Verify space exists before triggering automated onboarding sequences

Find story

Find a specific story (content block) in Rally.

Use cases:

  • Locate your most-viewed product walkthrough to clone for new prospects

  • Find content by topic for repurposing

  • Retrieve video transcripts and metadata for SEO optimization

Find media

Find media assets (videos, images, files) in your Rally library.

Use cases:

  • Pull media URLs to use in other systems (CMS, email platforms, social media)

List account context

Retrieve the context entry associated with a customer account.

Use cases:

  • Sync account insights to your CRM for reps to review before calls

List space context

Retrieve the context entry associated with a specific space.

Use cases:

  • Pull deal room insights for weekly pipeline reviews

Creates

Automate data entry and updates in Rally.

Create account

Creates a new customer account in Rally.

Required fields:

  • Account name

  • Organization ID (provided automatically)

Use cases:

  • Auto-create Rally accounts when qualified leads convert to opportunities in your CRM

  • Sync new enterprise customers from your billing system to provision spaces

  • Create accounts from high-intent demo requests to enable personalized outreach

Create space

Creates a new space (deal room) in Rally.

Required fields:

  • Space name

Optional fields:

  • Description

  • Audience name

  • Primary color

  • Accent color

  • Workflow state

Use cases:

  • Auto-create personalized deal rooms when opportunities reach "Discovery" stage

  • Generate customer onboarding spaces immediately after contract signature

Add participant to space

Adds an internal user to a space as a participant.

Required fields:

  • Space ID

  • User ID

Use cases:

  • Auto-assign AEs and SEs to deal rooms based on territory or product line

  • Route technical specialists to evaluation spaces based on buyer requirements

Add story to space

Adds an existing story (content block) to a space.

Required fields:

  • Space ID

  • Story ID (from existing Rally stories)

Optional fields:

  • Block name

  • Block description

  • Position

  • Auto-populate new deal rooms with personalized video intros and product walkthroughs

  • Add industry-specific demo videos based on prospect firmographics

  • Insert onboarding content when customers sign contracts

Update account context

Creates or updates the context entry for a customer account.

Required fields:

  • Account ID

  • Context content (text)

How it works:

  • If context exists, it will be updated

  • If no context exists, it will be created

  • Context is stored as memory for Rally's intelligence

Use cases:

  • Sync CRM notes to Rally so the agent can generate personalized summaries

  • Update account context with discovery call insights to inform content recommendations

  • Store technical requirements and pain points to guide demo personalization

  • Feed buyer committee information to Rally for stakeholder-specific content

Update space context

Creates or updates the context entry for a specific space.

Required fields:

  • Space ID

  • Context content (text)

How it works:

  • If context exists, it will be updated

  • If no context exists, it will be created

  • Context is stored as memory for Rally's intelligence

Search or creates

Intelligent actions that find existing records or create new ones.

Find or create account

Searches for a customer account; creates one if it doesn't exist.

Use cases:

  • Ensure customer accounts exist before provisioning deal rooms

  • Sync CRM opportunities without creating duplicate Rally accounts

Searches for a space; creates one if it doesn't exist.

Use cases:

  • Prevent duplicate deal rooms when syncing from multiple CRM workflows

Rally's Zapier integration is best for setup and enrichment workflows — creating accounts, provisioning spaces, adding context from other tools. For complex updates, deletions, or bidirectional sync, you'll need Rally's API or manual actions.


Workflow examples

Deal room creation from CRM

Trigger: New opportunity created in Salesforce/HubSpot

Actions:

  1. Find or create account in Rally

  2. Create space (deal room) in Rally with opportunity name

  3. Add Account Executive and Sales Engineer as participants

  4. Add existing intro video and product demo stories to the space

  5. Update space context with opportunity details and timeline

  6. Send Slack notification to sales team with deal room link

Why it works: Every new opportunity gets a Rally space automatically. Your champion has a place to explore, get answers, and loop in stakeholders—without waiting for you to set it up.

Account enrichment from call recordings

Trigger: Call recording completed in Gong/Chorus (Gong/Chorus trigger)

Actions:

  1. Find or create account in Rally

  2. Update account context with call transcript summary and key pain points

  3. Update related space context (if space exists) with next steps from call

  4. Send Slack notification to AE that Rally context has been updated

Why it works: Rally's context stays current with every call. When champions ask questions, Rally has the latest information to generate relevant answers.

Automated onboarding from closed-won

Trigger: Opportunity stage changes to "Closed Won" in CRM (Salesforce/HubSpot trigger)

Actions:

  1. Find or create account in Rally

  2. Create onboarding space with customer name

  3. Add CSM and implementation specialist as participants

  4. Add existing welcome video, product walkthrough, and training stories

  5. Update space context with contract details and success milestones

Trigger: Check Rally for new stories every day (Schedule by Zapier trigger)

Actions:

  1. Get stories from Rally (new stories in last 24 hours)

  2. For each new story, add metadata to Airtable content library

  3. Tag stories by category based on name/description

  4. Send weekly digest to marketing team with new content

Tips and best practices

Use "Find or create" actions

Prevent duplicate accounts and deal rooms by using "Find or create" actions instead of direct creates when possible.

Chain searches with creates

Always use a "Find" or "Find or create" action before adding participants or stories. Make sure the target space or account exists first.

Add context for AI agents

Use account context and space context actions to maintain rich information that powers Rally's intelligence. Rally generates better answers when it knows more about your buyers—their pain points, technical requirements, decision criteria, and timeline.

Automate content distribution

Set up workflows to automatically add your best-performing stories to new deal rooms based on industry, use case, or deal stage. Use Rally's "Find story" action to locate the right content, then "Add story to space" to place it.

Use filters in Zapier

Rally triggers return all results. Use Zapier's built-in filters to only process items that meet your criteria (like spaces in a specific workflow state, or accounts with certain names).
